Messages Page General Help

Lets start by explaining the Interface of the Messages Tab.

1) This is the “Contacts Search” box. Here you can search through your contacts for the ones you want by filtering the names that display.

2) This is the “Contacts” Pane. This will display a list of the contacts you currently have in the system.

3) This is the “Group Selection” area. This allows you to add entire groups to receive the message instead of just single contacts.

4) This is the “Delivery Mode” Pane. This is where you can select to send the message as a Text Message, E-Mail, or both.

5) This is the “Scheduling” Pane. This is where you can specify a later time for messages to be sent out.

6) This is the “From E-Mail” box. This is automatically filled in based on your settings in the “Settings” tab.

7) This is the “To” Pane. This will display a list of all selected contacts to receive the message.

8) This is the “Subject” box. This is where you can specify the subject of the message being sent out.

9) This is the “Body” box. This is where you can specify the content of the message being sent out.

10) This is the “Save” button. This allows you to save the current message as a template for future use.

11) This is the “Import” button. This allows you to load a saved message.

12) This is the “Send” button. This allows you to send out the current message to the selected contacts.



Selecting Contacts to Receive the Message


To explain how to add contacts to receive a message, let’s focus on the “Contacts” pane. In this pane you do everything you need to do in order to select the proper contacts to receive the message.

The first way we can add users, is to double click on the Contact name in the “Contacts” Pane. This will move the selected user to the “To” pane.

This is the easiest way to add just a few contacts. The same result can be accomplished by clicking on one name, then by holding down the “Alt” key and selecting multiple names. Once the names that are to receive the message are selected, you can click on the left arrow key on the Interface to add multiple users to this the “To” pane.

Using this Interface you can also limit the entries that display in the “Contacts” Pane. To do this you simply type the search terms into the “Find” box. As you type in the box, the list of contacts will be limited only to the users that meet the search terms.

There is one more way to add contacts to receive the message. You can accomplish this by adding groups to receive the message. This will send the message to the entire selected group, including every contact that is part of that group. To do this you can select the group from the Groups Quick Add box for a single group, or the “Choose Groups” button to add multiple groups to receive the message.

When the “Choose Groups” button is clicked, the above interface will display with a list of all the groups that you have setup. To select multiple groups, simply check the box next to the group(s) you wish to add and click on the “Add” button. You will then see the group name display in the “To” Pane.

You can always view the contacts within the selected group by expanding the group name by double clicking or clicking on the “+” symbol next to the name.


Removing Contacts to Receive the Message

Removing Contacts to receive a message is very simple also. You can remove single contacts by clicking on the contact name and clicking the “Remove” button. Also, you can remove an entire group by selecting the group name and pressing the “Remove” button. Finally, you can remove users that are inside of a group by expanding the group using the “+” symbol next to the group and then selecting the Contact name within the group and pressing the “Remove” button.


Sending a Message

Once you have selected the Contacts that are going to receive the message, the next step is preparing the message to be sent. All of this can be done in the “Subject”, “Body”, and “Delivery Method” Panes.

The simple part of sending a message is to put in the subject of the message being sent in the “Subject” box, and the content of the message in the “Body” box. Using the “Delivery Mode” pane you can select if you want the message to be sent to Contact’s E-Mail inbox, as a Text Message, or both. To change these simply click on the picture of the Cell Phone or E-Mail. A picture with a blue background is a selected delivery mode. You must select at least one delivery mode.

Once all of this has been filled out and established, you can send the message by simply clicking on the “Send” button.
